How to book more private events at your restaurant

A private event can be one of the most valuable bookings a restaurant takes: a guaranteed group, a set menu, a minimum spend and a date on the calendar weeks in advance. Yet most restaurants market their private dining with a single line on the website and an email address.

Decide what you are selling

Be specific about what is available: - Semi-private area: part of the dining room, set off - Private room: a separate space with a capacity range - Full buyout: the whole restaurant - Off-site: catering at the client's location (see how to get catering orders)

For each, list capacity seated and standing, available days and times, and the minimum spend.

Build event packages

Planners want to know what it costs without three emails. Offer two or three set menus or formats with a per-person price, for example a cocktail-style reception, a family-style dinner and a plated dinner. Add drink packages and extras like a cake service or AV.

State clearly: - Food and beverage minimum by day and time - Per-person pricing for each package - Service charge and tax - Deposit and cancellation terms (see catering deposit policy)

Make a real private events page

Your private events page should show: - Photos of the space set up for an event, not empty - Capacity for each space - Packages and price ranges - Example occasions: birthdays, rehearsal dinners, corporate dinners, holiday parties, showers - A short inquiry form: date, headcount, occasion, budget, space preference - A phone number that someone answers

Link it in your main navigation and from your Google Business Profile.

Where event planners look

  • Google Search and Maps. People search for private dining and party rooms near them. A clear page and an accurate Business Profile help you show up. See Google Business Profile for catering.
  • Their own network. Past guests and regulars. Ask every large table if they host events.
  • Social media. Photos and short videos of real events, with permission.
  • Ads. Meta ads aimed at people near you who are planning an event, with a form that asks date, headcount, occasion and budget.

Speed decides who gets the booking

Private event inquiries are often sent to several venues at once. A 2026 study that submitted 807 private-event inquiries to restaurants, bars and venues found (Hermetic AI, 2026): - Only 13% received a human reply within an hour - 19% never received a human reply - The median first human reply took 23.6 hours, and 32.5 hours for weekend inquiries - No venue replied by text or phone first, even with a mobile number provided

The study comes from a company that sells response software, so treat it as directional. Still, the opening is obvious: a restaurant that calls or texts within an hour stands out immediately. Scripts are in how to respond to catering inquiries.

Seasonality

Holiday parties, graduation season, wedding season (rehearsal dinners) and year-end corporate events are the busy windows. Plan marketing four to eight weeks ahead of each. See the holiday party playbook.

Common questions

How do I get more private events at my restaurant?

Make the offer clear (spaces, packages, minimums), put it on a dedicated page, tell your current guests, run targeted ads and reply to every inquiry within an hour.

What is a food and beverage minimum?

The amount the group must spend on food and drinks to reserve the space. If they spend less, the difference is usually charged as a room fee.

Do I need a separate room to host private events?

No. Semi-private areas and full buyouts on slow nights are common alternatives.

Should private event pricing be on the website?

Showing packages or price ranges filters out planners who are not a fit and speeds up booking for those who are.
